Privacy Policy
In plain English: we collect the minimum data needed to run your rostering workspace, we store it securely in Australia, and we don't sell it to anyone. Ever.
1. Who we are
Clokk ("Clokk", "we", "us") provides staff rostering software to businesses across Australia. This policy explains what personal information we collect, how we use it, and the rights you have over it.

2. What we collect
From business owners (admins)
- Name, business name, industry and work email
- Billing contact details (when you subscribe to a paid plan)
- Workspace configuration (roles, departments, shift templates)
From staff members
- Name, work email and mobile number
- Employment type (full-time, part-time, casual) and role
- Shift assignments, availability and claim history
Automatically
- Basic usage analytics (pages viewed, features used) — always aggregated
- Device and browser info for troubleshooting
- IP address for security and rate limiting
3. How we use your data
We use your information to:
- Run and deliver the Clokk service
- Send shift notifications (email and, on paid plans, SMS) to the staff you've invited
- Send verification codes for secure sign-in
- Process subscription payments
- Reply to your support requests
- Improve the product based on how it's used (always in aggregate)
4. Where your data lives
Account, roster and profile data sync to our cloud database (Supabase), hosted on servers located in Australia (Sydney region). Backups are encrypted and retained for 30 days.
Some workflow data — such as draft swap requests, leave requests, hourly rate inputs, payroll-integration connection state and your local admin activity log — is currently held in your browser's local storage on the device you used to enter it, while the cloud-sync layer for these features is being rolled out. This means the data lives on your device until cleared, and won't automatically appear on a second device. We're migrating these features to the Sydney-hosted database progressively; this notice will be updated as each one moves over.
Payment information is never stored on our servers — it's handled directly by our payment processor (Stripe).
5. Who we share it with
We never sell your data. We share it only with:
- Your workspace admins — who can see the rosters, availability and shift history of staff in the workspace
- Our infrastructure providers (Supabase for database, Twilio for SMS, Stripe for payments) — strictly to deliver the service
- Law enforcement — only when legally required and only the minimum necessary
6. Your rights
Under the Australian Privacy Act you have the right to:
- Access the personal information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your personal information when it's no longer needed
- Withdraw consent to marketing at any time
- Lodge a complaint with the Office of the Australian Information Commissioner
Email privacy@clokk.com.au to exercise any of these rights. We'll reply within 30 days.
7. Retention
We keep your data for as long as your workspace is active. If you cancel your subscription, we keep it for 90 days (in case you come back), then permanently delete it. You can request an immediate deletion at any time.
8. Cookies
We use strictly-necessary cookies and local storage to keep you signed in and to remember preferences such as theme and last-viewed page. We don't use third-party advertising cookies, and we don't currently run any third-party analytics or tracking scripts. If we introduce a privacy-friendly analytics tool in future, this notice will be updated first.
9. Children
Clokk is a workplace tool and is not intended for use by anyone under 14. If you believe a minor has created an account without parental consent, contact us and we'll remove it.
10. Changes to this policy
If we make material changes, we'll email workspace admins and post the updated date at the top of this page. Continued use after a change means you accept the updated policy.
